First Coast Christian Writers is led by a team of eight officers who are committed to:
-
praying for club members, visitors and speakers;
- making your phone number and email easily accessible so visitors, members and speakers know how to get a hold of you if they have questions;
-
arriving fifteen minutes prior to the meeting to assure that members, visitors and speakers are blessed by their participation in our weekly meetings;
-
notifying fellow officers when unable to attend a weekly meeting and ensuring another officer can fulfill duties when unable to attend a weekly meeting;
- bringing copies of role cards, forms, agenda, sign-in sheet, and basics to be prepared to back up a fellow officer on any given week;
-
attending monthly officers meetings
-
supporting fellow officers with their responsibilities and goals, both long term and in weekly meetings;
- participating in club leadership training as needed;
- training your replacement prior to stepping out of your role.

The president serves as the club's chief executive officer, responsible for general supervision and operation of the club. President is responsible for:

assuring good relationships with American Christian Writers, Florida Writers Association and local chapter affiliates; meeting their requirements and requests as needed to remain in good standing;
- maintaining annual listing in Sally Stuart's Christian Writer's Market book, and seeking additional opportunities to promote the club;

ordering club business cards, post cards and other marketing materials, and ensuring brand integrity of all club promotional items; distributing items to officers as needed
-
securing meeting space adequate to support the number of people attending weekly meetings;

leading monthly officers meetings;
- serving as co-signer on FCCW bank account (club officer minutes are required to make changes);
-
supporting each club officer to carry out their duties to the best of their ability, providing training as needed.

Vice President of Education (VPE) |
|

|
The Vice President of Education (VPE) is the second-highest ranking club officer, presiding at club and executive committee meetings in absence of the president. The VPE is responsible for:
-
scheduling appropriate speakers to help members achieve their writing goals;
- providing speaker bio, photo and content to web master for weekly newsletter;
- welcoming speakers at 6:30 pm and help them set up, bringing bottled water, extension cords and any other items they many need;
-
identifying writing events going on in the region and notifying members about these events in weekly meetings;
-
updating the speaker schedule and regional events on the FCCW calendar;
- ensuring that the speaker's blog entry gets posted in a timely manner;
-
following up with speakers after the meeting to thank them for speaking and extending to them an invitation to join FCCW.

Vice President of Membership (VPM) |

The Vice President of Membership (VPM) is the third-ranking club officer. The VPM is responsible for:

updating, printing, and distributing sign-in sheets at weekly meetings and maintaining them as a permanent record on FCCW (Google Groups) officer site;

welcoming visitors and giving them registration forms at the beginning of the meeting and collecting them at the end of the meeting,

inviting visitors to join, providing them with membership registration forms, and ensuring that their membership dues are given to the treasurer;
- explaining club procedures to new members: raffle, name tags and manuscript critiques;
- forwarding new member information and photos to the web master for posting on the FCCW website.

settng goals to facilitate membership growth each month and seeking support from club officers and members to achieve these goals;
-
conducting on-going membership-building programs;
- holding members accountable to achieve their writing goals, assigning mentors and mentees to thos who are interested;
- following up with members who aren't attending to encourage them to come back;

providing brief (60-second or less) membership updates and reports in weekly meetings according to the agenda, including announcement of new members.

Vice President of Public Relations (VPPR) |

The Vice President of Public Relations (VPPR) is the fourth-ranking club officer. The VPPR is responsible for:
-
ensuring in weekly meetings that all club members have at least a few FCCW business cards on hand to distribute to potential members, and more if they plan on attending an upcoming writing event;
- taking photos of speaker during their presentation and posting a few in the blog entry you receive from the weekly blogger;
-
promoting the club, its members and its speakers to local media, bookstores and at writing events held in the region.
-
posting and maintaining FCCW meeting announcements in FolioWeekly, CraigsList and all other appropriate media with free listings;
- contacting local Christian radio stations to request free announcements and calendar listings on their website;
- writing press releases for well-known or best-selling authors, distributing press releases to local media, coordinating with author's PR agent if s/he has one;
- sending out Twitter messages announcing weekly speaker, FCCW blog postings, and periodically send other messages of interest to Jacksonville writers (our Twitter account automatically posts on our FCCW Facebook page as well);
- posting photos on FCCW Facebook fan page and encouraging all members to post photos and messages beneficial to fellow writers;

continuously seeking new ways to promote FCCW in the First Coast region, and
-
providing brief (60-second or less) PR updates in weekly meetings according to the agenda.

The secretary is the fifth-ranking club officer. The secretary is responsible for:
- distributing copies of the weekly agenda, updating as needed;

- taking minutes in weekly meetings and posting them on the FCCW (Google Groups) officer page to serve as a permanent record of the meeting, noting important events such as the speaker, visitors, new members joining, success stories;

ensuring that the weekly blogger completes the blog entry and sends it to the speaker for his/her review prior to posting by the VP PR;
- reviewing website and blog periodically to be sure that all links are working, all content is accurate, notifying the web master or appropriate officer if something needs to be updated;
-
taking minutes at monthly officers meetings and distributing them to officers via e-mail within 48 hours following the meeting. Minutes must be written in easy-to-read paragraph format and posted on the FCCW (Google Groups) officer page to serve as a permanent record of the meeting.

The treasurer is the sixth-ranking club officer. The treasurer is responsible for:
-
serving as a co-signer on the FCCW bank account (officer meeting minutes required to make changes);
-
collecting membership dues and weekly funds collected through the raffle, stocking and selling name tags as needed, reminding all members to bring items each week;
-
conducting the raffle drawing at the end of the meeting when called upon to do so by the MC (ensuring that no one takes too long to select an item);
- purchasing club supplies as needed, such as stamps to distribute to officers as needed;
-
keeping track of all FCCW financial transactions and for paying all FCCW invoices after consensus approval by officers in monthly meetings;
-
providing a brief (60-second or less) financial report at weekly meetings as indicated on the agenda;
- providing financial report in monthly officers meetings.

Buddy Putman

The Sergeant at Arms (SAA) is the seventh-ranking club officer. The SAA is responsible for:
- distributing role cards at the beginning of the meeting and collecting them at the end; encouraging people to volunteer for new roles and ensuring that all roles are covered prior to the start of the meeting;

maintaining and posting club signage so that visitors can easily find the location of the meeting;
-
maintaining stopwatches and other equipment so that everything is presentable and in good working order;
-
assuring that the room is set up fifteen minutes prior to the start of the meeting as indicated on the agenda;
-
ensuring that the MC begins the meeting on time;
-
assuring (at end of meeting) that meeting space(s) are left in the same condition or better then when group arrived; and
-
collecting all signage at end of meeting and providing safe storage of signs until next meeting.

The web master ensures that the FCCW website and blog are in good working order and that all links are working. Web master is responsible for:

- maintaining FCCW email distribution list (based on visitor and new member forms received from VP of Membership) along with new requests that come through our website;
- sending out weekly newsletter (after receiving content from VP Education);

coordinating with the treasurer to ensure that website-related invoices are paid on time in order to ensure 100% uptime of website;

coordinating with officers to ensure that content supports the mission of the club; and
-
notifying officers of web tools and capabilities for FCCW's website, blog, Twitter, Facebook fan page and others, to support the growth of FCCW.
